When each document is actually needed
Language results, an ECA if your credentials are foreign, your signed job offer and confirmation your employer has filed. These take weeks to obtain and the registration window is about 30 days.
Reference letters, transcripts, Notices of Assessment, pay records and family documents. You have roughly 17 days once invited, so "ready" means collected, not requested.
Reference letters: the document that fails most applications
More refusals trace back to employment reference letters than to any other document, because they have to do something specific: prove that the work you did matches the NOC you claimed.

Five document mistakes worth avoiding
- Assuming an old ECA is still good. Five years, and the clock runs from issue, not from when you need it.
- Letting language results expire mid process. They must be valid at submission, not at registration.
- Requesting reference letters after the invitation. Former employers do not work to your seventeen-day deadline.
- Claiming your latest tax year instead of your best. The factor uses your highest of the last five →

What documents do I need for an OINP application?
Passport and identity documents, proof of current Canadian status, language test results under two years old, education credentials with an ECA if foreign, employment reference letters matching your NOC, CRA Notices of Assessment, and your signed job offer. Every scoring factor you claim must be evidenced.
Do I need documents at the EOI stage?
You declare your factors at the expression of interest stage rather than uploading everything, but you must be able to prove every declaration. Because you get roughly 17 days after an invitation, the documents need to exist before you register, not after.
What should a reference letter contain?
Company letterhead, your job title, employment dates, hours per week, salary, and a description of duties that matches the NOC on your job offer. A signature, the writer's title and company contact details. Duties that do not match your claimed NOC are a leading refusal cause.
How old can my ECA be?
Less than five years at the time you apply. Applicants who assessed credentials for an earlier Express Entry attempt frequently find the report has aged out during the process.
How long are language results valid for the OINP?
Two years from the test date, and they must still be valid at submission, not merely when you registered your expression of interest.
Do documents need to be translated?
Documents not in English or French generally require a certified translation together with the original. Budget time for this; certified translation is not instant.
What if I can't get a reference letter from a former employer?
Alternative evidence, such as pay statements, T4s, contracts, a colleague's affidavit, can sometimes substitute, but it is weaker and needs to be assembled carefully. This is a common reason to get professional help rather than improvise inside a 17 day window.
Can I submit documents after the deadline?
No. The nomination application window is roughly 17 days and it is firm. Ontario may request additional documents afterwards, but you cannot rely on that as a second chance.
